We are seeking a highly skilled and organized Executive Assistant. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks with efficiency and discretion.

You’ll make an impact through:

  • Calendar Management : Efficiently managing and overseeing meetings, calendar appointments, and travel arrangements.

  • Communication Coordination : Prioritize and manage incoming requests, emails, and phone calls, ensuring timely responses and appropriate follow-up actions.

  • Document Preparation : Prepare, compile, and analyze complex information for correspondence, reports, presentations, and other documents to ensure accuracy and professionalism.

  • Research and Briefings : Conduct research, compile data, and prepare briefs or summaries for review and decision-making, providing valuable insights.

  • Stakeholder Liaison : Act as a liaison between internal/external stakeholders (ie Facilities and IT), maintaining professional relationships with integrity, acting as an information resource on organization policies and procedures.

  • Event Planning : Plan and coordinate executive-level meetings, events, and conferences, managing logistics, agenda preparation, and materials distribution to ensure successful outcomes.

  • Special Projects Support: Assist in special projects and initiatives, offering support and coordination as needed to drive project success and organizational goals.

Your defining qualities:

  • Educational Background : Bachelor's degree in Business Administration, Communications, or related field preferred.

  • Relevant Experience : Proven track record (5+ years) as an Executive Assistant or similar role supporting C-level executives.

  • Organizational Skills : Exceptional organizational and time management skills, adept at prioritizing tasks and meeting deadlines in a fast-paced environment.

  • Software Proficiency : Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

  • Communication Skills : Excellent verbal and written communication skills, demonstrating professionalism and diplomacy in all interactions.

  • Confidentiality and Discretion : Ability to maintain confidentiality and handle sensitive information with discretion.

  • Problem-Solving Abilities : Strong problem-solving abilities and attention to detail to effectively address challenges as they arise.
