We are seeking a skilled and experienced Business License and Sales Registrations Administrator to join our finance team. The ideal candidate for this role will possess basic to intermediate expertise in tax compliance, including a thorough understanding of state and local tax laws, and the ability to manage and complete various compliance activities accurately and on time. Additionally, they will demonstrate excellent organizational and communication skills to effectively coordinate with partners, respond to inquiries, and participate in strategic tax planning and audit processes.

You’ll * * make an impact by:

Tax Compliance Activities Sales Registrations/Business Licenses

  • Complete the day-to-day work activities of the compliance team to ensure the monthly compliance cycle is completed in a cost-effective, accurate and timely manner.

  • Timely submit compliance data to partners to meet filing requirements.

  • Timely review and follow-up of funding requests to ensure payments are made to meet filing deadlines

  • Complete compliance activities to ensure GBS Tax complies with Siemens Operating Company’s Service Level Agreements.

  • Participate in weekly partner calls to coordinate GBS Tax and partner compliance activities including timely updating issues log and action items.

  • Complete the filing of refund claims identified for business licenses.

  • Follow up on all refund claims filed and receive funds within 365 days.

  • Provide registration and license recommendations and requirements to team members for processing to keep Siemens Operating Companies in compliance.

  • Actively monitor and respond to customer inquiries/issues using tax help portal within 3 days as per the Service Level Agreement.

  • Actively monitor and respond to tax partner inquiries/issues via email and/or Teams.

  • Actively participate in customer meetings and provide business license status to the meeting lead at least 3 days prior to the scheduled meeting.

Tax Compliance Activities – Other Taxes

  • Complete monthly work activities to ensure Florida Document Stamp reporting is completed in a cost effective, accurate and timely manner.

  • Complete quarterly work activities to ensure that NYC Rent Commerce reporting is completed in a cost effective, accurate and timely manner.

  • Complete annual work activities to ensure that other filings are completed in a cost effective, accurate and timely manner. This will include but not limited to: Electronic Waste, Hazardous Waste, CA Environmental, Radioactive Material Licenses.

Tax Consulting/Strategic Planning

  • Propose to area lead and manager a written timely state and/or local tax advice through tax law research that will increases tax compliance with the laws and regulations of state and local taxing authorities.

  • Propose to area lead and manager a level two tax analysis, planning, control and reporting for the business consistent with the Siemens guidelines and requirements for contract negotiations.

  • Document, comply, monitor, evaluate and update internal state and local tax policies and procedures and recommend alternatives to ensure compliance and reduce tax overspending.

  • Research, analyze and prepare multi-state business and affiliate state and local tax refund opportunities.

  • Recommend and implement process changes that reduce potential exposure.

  • Prepare and conduct training workshops related to area of responsibility for the business and affiliates.

Tax Auditing/Reverse Audits

  • Complete the day-to-day work activities of the audit and consulting team to ensure the audit cycle is completed in a cost-effective, accurate, and timely manner.

  • Identify, communicate, and conduct strategic audits/refunds to recover business license amounts and overpayments.

  • Compile, organize, document, and communicate business data for state and local taxing authorities and support assigned business license audits to minimize tax exposure amounts and overpayments.

  • File and pursue refund opportunities identified in external and internal audits and identified overpayments in coordination with tax lead for this area.

Tax Processes

  • Document, monitor, evaluate, and update internal desktop procedures and process maps for compliance activities.

  • Recommend, drive, and follow through on compliance process improvements to increase efficiencies and reduce tax exposure.

  • Execute Global Business Services, Risk and Internal Controls review and reporting requirements.

  • Obtain and maintain Risk and Internal Controls certification to assist team with testing department controls as needed.

  • Manage tax mail distribution for the department. This is done at least weekly onsite.

Tax Accounting

  • Timely review monthly compliance metrics.

  • Prepare and recommend audit accrual reserve calculation if required.

Projects

  • Actively contribute and participate in assigned departmental goals and objectives to meet Siemens balance scorecard for assigned targets for financial, customer, process, and employee targets.

  • Participate in sales registration, business licenses, compliance segment of migrations for new Siemens Operating Company migrations by following established project plans. Sample task can include establishing tax filing calendars, verifying data sources, reviewing parallel tax returns, verifying Inter-Company Clearing payment methods and vendors.

Basic Qualifications:

  • A bachelor's degree from an accredited university OR equivalent on-the-job experience

  • Phone Communication Skills: Demonstrated ability to effectively engage with partners and stakeholders over the phone to address inquires, coordinate activities and resolve issues.

  • Tax Compliance Knowledge: In-depth understanding of state and local tax laws, regulations, and compliance requirements.

  • Audit Cycle Knowledge:Familiarity with the audit process, including identifying, documenting and pursuing audit opportunities to recover overpayments and ensure compliance.

  • Problem-Solving Abilities: Capacity to research tax issues, propose strategic tax advice, and implement process improvements to reduce tax exposure and enhance compliance efficiency.

Preferred Skills:

  • Basic Accounting knowledge preferred

  • Attention to Detail: Ability to meticulously review and process compliance data, ensuring accuracy and timeliness in filings and reporting.

  • Time Management and Multitasking: Proven ability to manage time effectively, stay organized, and handle multiple tasks simultaneously in a fast-paced environment.

  • Organizational Skills: Strong ability to manage multiple tasks, deadlines, and compliance cycles efficiently.

  • Communication Skills: Proficient in coordinating with partners, responding to inquiries, and participating in meetings, both verbally and in writing.

  • Government Interaction Exposure:Previous experience interacting with government tax authorities to resolve compliance issues and ensure regulatory adherence.

  • Experience with Tax Software: Proficiency in using specialized tax compliance and accounting software to streamline processes and enhance efficiency.

  • Analytical Skills: Strong analytical abilities to assess complex tax issues, identify refund opportunities, and conduct detailed tax planning and analysis.

  • Training and Development: Experience in preparing and conducting training workshops related to tax compliance and procedures for team members and affiliates.

  • Project Management Skills: Ability to lead and manage projects related to tax compliance, audits, and strategic planning.

The pay range for this position is $43,400 - $74,600. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications and premium geographic location.
